Primary Care Assistant: Receptionist
Work Arrangement / Work Shift: WFH / 9 am EST
Role Overview: The Receptionist serves as the first point of contact for patients entering the primary care clinic. This role is responsible for greeting patients, managing appointments, verifying insurance, coordinating communication between patients and providers, and ensuring a smooth, welcoming front-desk experience. Accuracy, professionalism, and strong customer service skills are essential.
What You’ll Be Doing:
Patient Reception & Customer Service
Greet patients warmly and check them in using the EHR system.
Answer phones, triage calls, and route messages appropriately.
Provide information on office policies and services.
Address patient concerns with empathy and escalate issues when needed.
Appointment Scheduling & Coordination
Schedule, reschedule, and confirm appointments.
Coordinate follow-ups, annual exams, labs, and referrals.
Send appointment reminders.
Ensure provider schedules are optimized
Patient Registration & Documentation
Verify and update patient demographics.
Collect medical forms, consents, and identification.
Scan and upload documents into the EHR.
Assist patients with completing paperwork.
Insurance Verification & Billing Support
Verify insurance coverage and eligibility.
Collect copays, balances, and payments.
Address basic billing questions and direct complex issues to billing staff.
Record payments and issue receipts accurately.
Administrative & Clerical Support
Manage mail, faxes, and secure messages.
Maintain front desk and waiting area organization.
Order and maintain office supplies.
Support clinical staff with administrative tasks.
Compliance & Confidentiality
Follow HIPAA and confidentiality regulations.
Adhere to office safety and infection-control standards.
Assist with audits and quality control checks.
What You’ll Need:
High school diploma or equivalent required.
Excellent communication and customer service skills.
Strong organization and multitasking abilities.
Knowledge of insurance terminology.
Computer and scheduling proficiency.
Ability to stay calm during busy periods.
What Will Set You Apart:
Medical office experience preferred.
EHR experience is a plus.
